New rules for members tee time reservations with effect from 1st October 2023. All reservations must be made in the Villamartin Booking System with the correct members' name.
Members Bookings
Every full member can make a maximum of 6 bookings in any calendar week in advance, however, if a family member is playing, this will be reduced to 3 bookings per player.
Reservations can be made up to 45 days in advance.
Each full member can make a maximum of 12 bookings for the upcoming 45 days (however, if a family member is playing this will be reduced to only 6 bookings per player).
Cancelling Tee Times
Each member is responsible for his/her tee reservations.
Only the booked member or the person who originally made the booking can cancel the tee time.
Cancellations should be made as soon as possible.
Under no circumstances is a member allowed to play on another member's tee time.
Cancellations can only be made via the booking system, email or phone call to the Caddymaster.
Once the cancellation has been actioned a confirmation email will be issued to the member.
Same day cancellations should be made by phone to the Caddymaster.
No-Shows
Under the following circumstances a No-Show will be logged if:
A member has booked a tee time and does not cancel the reservation and does not show
b. Non arrival at the allocated tee time
Either of the above will result in the member being issued with a warning.
Repeated No-Shows will result in a No-Show fee, which will be calculated at 30% of the VillaMartin Green fee of the day.
Group Bookings (not organised groups)
Each member can book up to 8 members in total (i.e., one group leader for 2 tee times).
Members need to ensure that the group leader has the correct email address to facilitate these bookings.
An email will be sent to confirm the booking.
24 Hour Rule
Campo has agreed to release all unused member tee times for the next day at 3pm (so for a Friday the members tee times will be released at 3pm on the Thursday). This will only be for members and not available to Green Fee players. Therefore, our tee times are fully protected. This will be for all members and not subject to any restrictions i.e. if you have used up your tee allocation.
On the same day, any unused tee times (member tee times and Campo tee times) will be available to book by both members and green fee players. Bookings should be made with the caddymaster if you have used up your booking allocation, otherwise booking online is advisable. This will be in place by Monday 12th March 2024.
Guest Playing
Members can bring guests to play at Villamartin Golf Club using a tee time from their own booking limitations i.e. a member can allocate one of his/her booking allowances to one
Booking a guest should be made via the online booking system, and the guest must be included in the members booking. At this point a deposit will be required, with the remaining amount payable to the Caddymaster upon arrival to the Golf Club.
Before Playing a Round
Before playing each round of golf, members MUST check in with the Caddymaster to confirm their arrival and tee time.
For group bookings (Point 4 above) the leader can check in the whole group.
A starter will be on hand to check that the members playing match the booking list held by the Caddymaster.
Annual Fee
Annual Fees must be paid by 31st of March each year.
Members not meeting this deadline will be unable to use the booking system as their names will be blocked until payment is received.
Pre-Booked Organised Groups
All pre-booked Organised Groups must be open for all members to play.
Group leaders should give players names to the Caddymaster 14 days in advance of the playing date.
A maximum of 5 members can be placed on the reserve list for each group.
The Caddymaster will firstly check the reserve list in the case of a member who has exceeded their booking limit, for cancellations or any other reason.
Tee times which have not been booked and not filled by the reserve list will be open for all other members to book.
Group Leaders
Group Leaders are responsible for ensuring all names in the group are correct and that no one is playing using another member's name.
Extending Pre-Booked Group Bookings
If groups are extended with slots in front or behind, the members are themselves responsible for the booking.
The Caddymaster may not change the names.
Cancellation of these slots can only be made in accordance with Point 2 above.
Rule Breaking
Members failing to follow the above rules will in the first instance receive a warning.
Continued violation of the above rules will result in members being blocked from the Booking System for the next Calendar month.
